Ad-Hoc Assignments (CAPA)

Ad-hoc assignments improve workflow flexibility by allowing the record creator to modify participants in workflow stages at the time of record submission. The record creator can change assigned teams, select or update workflows, designate a record owner, and optionally assign the record to themselves. Additionally, record creators can include stage-specific instructions and add extra participants as needed.

Important

• To manage Ad-hoc assignments, a record creator with Editor access must have the Manage Record Assignments action enabled in their user profile.
• Admin users can manage Ad-Hoc assignments by default.
• If the Manage Record Assignments action is not enabled, the record will follow the default submission process described in the Create CAPA section.

To configure the team assignments while submitting a record, follow the steps below.

1. To create an action item record and submit it for review, follow the steps, i.e., STEP 1 to 7, detailed in the Create CAPA section.
2. The Team Review opens.
3. On the Team Review window, perform the following
   1. Click on the Team dropdown and select the required team if not selected by default.
   2. Optionally, click on the Owner dropdown and select a user as the record owner.
   3. Enable or disable the Share with Entire Team toggle to control the records' visibility.
   4. Click on the Workflow dropdown and select the required workflow.

   

4. To change the assignees within the stages, click Edit

   

5. On the Edit Available Assignees For window, select the required users from the following tabs.
6. Click the Save (number) Users button.

   

7. Click on the ellipsis (…) and select the Add Instructions option; then add the necessary instructions in the text box.
8. Click Save & Continue to save the configurations.
