Respond and resolve a query

To respond to and resolve a query, follow the steps below:

  1. As a query recipient, navigate to the Queries module and open the Document Queries tab.

  2. From the View By dropdown, select the My Queries view, and click the Received folder.
    Note: Users can choose any view as per the requirement and the folder structure will modify accordingly.
  3. Access the Pending folder and select the query received.
  4. Open the metadata panel and click the Messages tab.
  5. Within the Messages tab, click on the Respond button.

  6. Within the text box below the Response field, enter some text as a response to the query.
  7. Optionally, click the +Add Attachment button and upload a file.
  8. Click the Update and Save button.

  9. As the query initiator, select the By Status option from the View By dropdown to display the available status-based subfolders.

    1. Pending: Displays queries that have been raised but have not yet received any action.
    2. In Progress: Displays queries that have responses added but remain unresolved.
    3. Resolved: Displays queries that have been marked as resolved.

  10. Open the In Progress folder and select the query to which the recipient has submitted a response.

  11. From the Messages tab, click the Back to Pending to revert the query back to the pending status.

  12. Mandatorily enter a comment and click Back to Pending.

  13. To resolve a query, click the Resolve button within the Messages tab.

  14. On the Resolve Query window, mandatorily select a resolution from the dropdown and enter comments.
  15. Click the Resolve button.

  16. Once the query is resolved, it is displayed in the Resolved folder and displays the corresponding status.

Note: The query creators will receive an email notification on every query. Also, the query creators and responders will receive an email notification for each subsequent response.
